Refund & Cancellation Policy

1. Overview & Policy Scope

This Refund and Cancellation Policy applies to all professional programming consulting, engineering team mentorship retainers, fixed-scope code review clinics, and architecture advisory sessions provided by Thinkaxispoint Consulting Co., Ltd. ("Thinkaxispoint"). Because our services involve reserved practitioner time, customized codebase diagnostics, and hands-on technical coaching, this policy establishes transparent rules for cancellations, schedule adjustments, and refund eligibility.

2. Fixed-Scope Clinics & Diagnostic Audits

For fixed-scope engagements (such as the Code Review Rigor Clinic or Developer Onboarding Advisory Sprint):

• Cancellation Before Diagnostic Commencement: If the Client cancels the engagement in writing at least seven (7) business days prior to the agreed kickoff date, a 100% full refund of any prepaid fees will be issued, less unavoidable bank wire transfer administrative surcharges.
• Cancellation Within 7 Days of Kickoff: If cancellation occurs between seven (7) days and forty-eight (48) hours before kickoff, a 75% partial refund will be issued to compensate for reserved scheduling.
• Work Already Started / Post-Kickoff: Once repository access has been granted and diagnostic auditing has commenced, fees for completed diagnostic milestones are non-refundable. Any prepaid amounts allocated to uncommenced subsequent clinic phases will be refunded on a pro-rata basis.

3. Ongoing Monthly Mentorship Retainers

For embedded monthly partnerships (such as the Flagship Engineering Team Mentorship program):

• Standard Notice Period: Retainers may be cancelled by either party with fourteen (14) calendar days' written notice prior to the start of the next monthly billing cycle.
• Mid-Month Terminations: If a Client terminates an active monthly retainer mid-cycle, the current month's fee is non-refundable as dedicated senior practitioner pairing hours were reserved. Mentorship hours remaining in the current cycle may still be utilized through the end of that billing month.
• Unused Retainer Hours: Because mentoring capacity is allocated per calendar month, unused pairing sessions cannot be rolled over into future billing periods unless agreed upon in writing due to extraordinary operational emergencies.

4. Single-Day Advisory Spikes & Workshops

For single-day architecture spikes and deep-dive technical workshops:

• Rescheduling: The Client may reschedule a scheduled workshop up to three (3) business days prior to the session at no additional charge.
• Late Rescheduling / No-Shows: Rescheduling requests made within forty-eight (48) hours of the session or failure to attend a scheduled pairing slot will incur a 30% rebooking fee to cover lost practitioner availability.

5. Non-Refundable Items

The following items are strictly non-refundable:

• Completed diagnostic reports, pull request review audit summaries, and authored Architectural Decision Records (ADRs) that have already been delivered to the Client;
• Hours spent in live pair programming, codebase review laboratories, or 1-on-1 coaching sessions;
• Third-party fees incurred on the Client's behalf with prior written approval (e.g. specialized diagnostic software licenses).

6. Refund Request Procedure & Processing Timeline

To submit a formal refund or cancellation request:

1. Send a written request via email to info@thinkaxispoint.click with the subject line "Refund Request - [Company Name] - [Statement of Work Number]".
2. Detail the specific reasons for the request, referencing the relevant engagement dates and deliverables.
3. Our principal consultant, Shengyu Chen, will review the request against the agreed Statement of Work and deliver a written response within three (3) business days.
4. Approved refunds are processed via the original payment method (bank wire transfer to the Client's corporate account) within seven (7) to ten (10) business days following approval.
